Privacy Policy
This policy explains what information the Hip-Hop Pedagogy Project collects through hiphoppedagogy.org — specifically the gathering registration form and the mailing-list signup form — and how that information is used, shared, and protected.
Last updated: August 31, 2026.
What We Collect
Gathering registration. When you register for a Practitioner or Scholar gathering, we ask for your first and last name, email address, professional role, school or organization (optional), city and state or region, what you hope to learn or share (optional), and any accessibility needs (optional). We also record which community and gathering date(s) you selected.
Mailing list. If you join the mailing list — either through the dedicated mailing-list form or by checking the separate opt-in box on the registration form — we collect your name, email address, and any community interests you select.
Why We Collect It
We use registration information to confirm your spot, share the video-call link and any details for the gathering(s) you signed up for, plan and staff gatherings appropriately, and respond to accessibility requests. We use mailing-list information only to send the updates described below.
How Gathering Information Is Communicated
Gatherings are held over Zoom. After you register, the site's on-page confirmation screen shows your gathering details and offers a calendar (.ics) file with the Zoom join link, which you can add to your calendar directly. Depending on setup, a confirmation email with the same information may also be sent automatically.
Registration Does Not Equal Mailing-List Enrollment
Registering for a gathering does not automatically sign you up for ongoing emails. The registration form has a separate, unchecked-by-default checkbox for that — you're only added to the mailing list if you check it, or if you fill out the mailing-list form directly.
Mailing List & Unsubscribing
Mailing-list emails include an unsubscribe option. You can also ask to be removed at any time by emailing info@hiphoppedagogy.org.
Accessibility Information
If you share accessibility needs when registering (for example, captioning or ASL interpretation), we use that information only to prepare accommodations for the specific gathering(s) you're attending. It is not used for any other purpose.
How Information Is Shared
We do not sell information or share it for advertising. Information you submit passes through the following service providers, each performing a specific function needed to run the gathering or mailing list you signed up for:
- Netlify — hosts the website and processes form submissions.
- Zoom — hosts the video gatherings you register for.
- MailerLite — sends mailing-list emails to people who opt in.
- An email-delivery service may be used to send registration confirmation emails.
- Google Fonts — delivers the typefaces used on this site.
We do not currently use analytics or advertising cookies on this site.
Data Retention & Security
Submitted information is retained only as long as needed to run gatherings and the mailing list, or until you ask us to delete it. We rely on our service providers' security practices to protect information in transit and storage, and we limit access to what's needed to operate the Project.
Requesting Correction or Deletion
To review, correct, or delete the information you've submitted — for a gathering registration, the mailing list, or both — email info@hiphoppedagogy.org and let us know what you'd like changed.
